What a simulator activation needs on site: space, power, access and lead time
Four site facts decide whether an activation is possible before anybody discusses the idea: the footprint including the space a person needs behind the seat, the power available at the position, how the equipment physically gets to that position, and how many hours you have to build. Any one of them can end a plan at the door.
Footprint is not the size of the rig
The dimension that matters is the working footprint: the rig, the space a person needs to get in and out without asking anyone to move, the position the host stands in, and the queue. A rig quoted at two metres by one usually needs closer to three by two before it can actually be operated.
The version of this that catches people is the queue. A line that has nowhere to form spills into the aisle, and an aisle is not yours: venues move you, and they move you at the busiest hour.
Power is a question about the position, not the building
Every venue has power. The question is what is available at the exact position you have been allocated, on a circuit that is not shared with something that spikes. Ask for the supply at your stand number, in amps, and ask what else is on it.
Get this wrong and the failure is intermittent, which is worse than total: the rig works all morning and drops out when the neighbouring stand switches on a lighting rig, and everyone assumes the equipment is faulty.
The door
More activations die at a doorway than at a budget meeting.
Freight lifts, loading bay height, the width of the corridor to the hall, whether there is a step, whether there is a ramp, and whether the venue permits the equipment to move during public hours. A build that fits the stand and does not fit the route to it is a build that does not happen.
Measure the narrowest point of the whole path, not the door of the hall. And ask in writing.
Lead time, and what it is actually made of

A short lead time does not make a project impossible. It makes custom content impossible, which is a different conversation and a much better one to have in week one than in week six.
